The Student Housing Pre-Leasing Calendar, From the Operator's Side

Half the beds at big-university markets are spoken for by January. Every published calendar is written for students deciding when to sign. Here is the version for the person who has to fill the building.

Search for a student housing leasing calendar and everything you find is written for the student: when to start looking, when the good places go. Useful for them. Useless for you, because your calendar runs earlier than theirs at every step.

Here is the operator's version, and the reason a website project in the spring has already missed the season.

The numbers that set the clock

Two published figures define how early this market moves at large universities. RealPage's analytics have shown properties beginning to lease in October and November on average, with the heaviest shopping running from mid-October through the end of February. And Yardi Matrix reported that for Fall 2026, purpose-built student beds at the major university markets it tracks were 52.3 percent pre-leased by January, up from 45.6 percent a year earlier, and 58.6 percent by February.

Both figures describe large purpose-built properties at big universities, and your market may run later; some campuses lease in spring. But the direction is one-way: pre-leasing keeps starting earlier, and the operators who move with it take the easy half of the season. By the time a student-facing calendar says "start looking in January," more than half the competing beds at the biggest markets are already gone.

The operator's year

  • August: move-in month, and also budget month. Whatever the website needs for next season gets decided now, because approvals take longer than builds.
  • September: the quiet four weeks. Fix the site now: per-bed pricing display, next fall's availability, updated photos from turn. This is the single best month of the year for website work, and the last one where a rebuild is comfortable.
  • October and November: leasing opens. Renewal outreach first, because the cheapest bed to fill is the one that never empties. The site must already show next fall's plans and prices.
  • December through February: the heavy season. At big markets, half your competition's beds get committed in this window. Nothing about the website should change now except availability counts.
  • March through May: the long tail. Later-deciding students, transfers, and grad students, plus markets that simply run late. Groups shrink; individual-lease clarity matters more.
  • June and July: pre-turn. Collect renewals' paperwork, schedule the turn, and photograph anything worth photographing before move-out damage.
  • Turn week: most student leases end around July 31, and industry coverage describes properties turning the majority of their units in roughly two weeks before the next wave arrives. The website's job during turn is simple: accurate move-in information, so the office phone is not the only source of truth.

What this means for a website decision

Work backward from October. If leasing opens in October and the site needs to be stable, priced, and indexed before it, a redesign belongs in late summer, done during September at the latest. Common agency quotes in this industry run four to sixteen weeks, which is precisely why a September realization usually becomes a "next year" project, and a lost season.

That timeline problem is solvable: our builds start with a first version live in days, not months, which means a September start still beats the October gun. It is also why the honest advice is unglamorous: decide in August, build in September, and freeze for the season.

One property or two near the same campus?

Small student operators often hold two or three properties near one university. They usually belong on one website with a clearly separated section per property, and neither loses its own identity or local listing.
